HermitageOS is a place for a company to keep its tasks, projects, notes, docs and meetings. It is built and run by Wheelhouse Systems. This page says what it keeps about you, why, and who else handles it.

What we keep

  • From Google, when you sign in: your name, email address and profile photo. We ask Google for nothing else, and we never see your Google password.
  • The work you and your company put in: tasks, projects, notes, docs, meetings, comments, photos and voice notes you add, and emails you send to your capture address.
  • A history of changes, so your company can see who changed what and when.

Who can see it

Only people your company has invited. Signing in does not give anyone access; an owner or admin has to add you first. Inside your company, what each person can see depends on their role, and things you mark private stay private as the app describes.

Your company's owner and admins can preview the app as you to check what you see. That preview never shows your private items and cannot change anything.

How we use it

Only to run HermitageOS for your company. We do not sell it, show you ads, or use it for anything else.

If your company turns on AI suggestions, the text of a capture or doc can be sent to Anthropic so it can suggest where to file it or which SOP fits. A person always confirms before anything is filed. Anthropic does not use that text to train its models.

Who handles it for us

  • Supabase stores the data and handles sign-in.
  • Vercel runs the website.
  • Google signs you in.
  • Anthropic provides AI suggestions, only when your company turns them on.
  • OpenAI turns voice notes into text. It does not use them to train its models.

Google user data

HermitageOS uses the name, email address and profile photo it receives from Google only to sign you in and show who you are to your company. Its use of that information follows the Google API Services User Data Policy, including the Limited Use requirements.

Keeping and removing it

Your company's work is kept while your company uses HermitageOS. An owner or admin can remove you from the company at any time. To have your account and your information deleted, ask your company's admin or contact Wheelhouse Systems at the support address shown on Google's sign-in screen.
